What is an Affiliate Event?
Events planned independently of AASLD are categorized as Affiliate Events. These activities provide opportunities for colleagues to gather and/or network with others within the field.

Will there be Affiliate Event opportunities at The Liver Meeting Digital Experience?
There will be no online Affiliate Events.

When will the Affiliate Event application process open?
AASLD will be accepting Affiliate Event applications in July. The official application opening date will be posted to AASLD's The Liver Meeting website: https://www.aasld.org/event/liver-meeting. We encourage those interested to periodically check the conference webpage for the latest information.

When can I host my event?
During the application process the company contact will select AASLD's outlined Affiliate Event allowed times and formats. Affiliate Event times will be listed in Pacific Time (PT).

What are the application fees and deadlines?
Affiliate Event Application Fee: There is a non-refundable application fee for each submitted application and a charge per day* on multi-day selection(s). Exhibitors at The Liver Meeting will receive a 20% discount on their application fee. Please contact sthibeault@aasld.org for the access code to receive the discount. The application fee will be waived for nonprofit and college/university sponsored events.

*Staff Offices will be charged the application fee for one day only. Staff Offices are limited to two per organization.

  • Before August 31, 2021: $300
  • After August 31, 2021 & before October 29, 2021: $350
  • After October 29, 2021: $500

Do I need to submit an application if the event will be at a restaurant, non-AASLD hotel, museum, office, etc?
AASLD approval is required for all affiliate events, independent of whether the organization is requesting function space from an AASLD venue. AASLD reserves the right to request detailed schedules of events being held, including target audience. When completing the application please select “Other" in the first venue selection option and insert the name of the facility.

Can I submit a paper application and pay with a check?
The Affiliate Event Application is to be submitted electronically, and the fee payment made by credit card only. Paper applications and payment in the forms of check or wire transfers will not be accepted.

How do I get my event approved?
Affiliate Applications will only be considered after the submission of the application and fee. The application will be available early July. This date will be posted on AASLD's The Liver Meeting webpage: https://www.aasld.org/event/liver-meeting. Once submitted, the application will be reviewed to ensure Rules and Regulations are abided by and confirm space availability. If this criteria is met, the company contact will receive an approval notification. If this is not approved, the company contact will be notified.

When will the AASLD Exhibit Application and Contract for The Liver Meeting® 2021 be available?
We encourage industry supporters to maximize engagement with our learners by securing space this November in our digital exhibit hall and our physical exhibit hall in Anaheim, California.

When will the Exhibitor & Sponsorship Prospectus be available?
The AASLD exhibitor prospectus for The Liver Meeting Digital Experience™ detailing the virtual exhibit booth packages and sponsorship opportunities is available on AASLD.org under the “Exhibit & Support Info” tab. A second prospectus for in-person sponsorship opportunities will be available later this year – stay tuned!

All attendees participating in The Liver Meeting® 2021 will have access to the Digital Experience and we anticipate that the majority of learners will access content online. Your organization will benefit the most by taking advantage of the virtual opportunities we offer for The Liver Meeting Digital Experience™.  Please contact exhibits@aasld.org for further information. 

How will Priority Points be awarded for 2021?
AASLD is excited to share the new priority points system developed to award more points for support and exhibiting to include virtual conferences. This new priority points system will be utilized for awarding priority points for The Liver Meeting® 2021 and for future annual meetings:

  • In-person Exhibiting: One (1) point for every 100 sq. ft. of exhibit space 
  • Virtual Exhibiting: One (1) point for every $2,500 in exhibit packages 
  • Sponsorship*: One (1) point for every $2,500 in corporate support/sponsorship 
  • Does not include Product Theaters or Satellite Symposia
  • Product Theaters:
    • One (1) point for each 30-minute timeslot (virtual or in-person)
    • Two (2) points for each 60-minute timeslot (virtual or in-person)
  • Exhibitor Survey: Five (5) points for completing the post-event Exhibitor Survey, when applicable

No points will be deducted for not participating in The Liver Meeting Digital Experience™ 2020. Please contact exhibits@aasld.org for further information. 

When will exhibit pricing be available for The Liver Meeting 2022? 
Exhibit booth pricing will be available in the fall of 2021.

When will exhibitor registration for The Liver Meeting® 2021 open?
Exhibitor registration will open for The Liver Meeting® in-person and digital components in August. 

I transferred exhibit booth fees from The Liver Meeting® 2020 to The Liver Meeting® 2021, what are my options?
Exhibitors who have carried over payments to The Liver Meeting 2021 have four options: 

  1. Apply exhibit fees towards The Liver Meeting 2021 in-person component
  2. Apply exhibit fees towards The Liver Meeting Digital Experience™ 2021
  3. Transfer booth fees to The Liver Meeting 2022
  4. Receive a full refund.

All Priority Points earned by transferring payment from 2020 to 2021 will be used for 2021 booth selection. If Priority Points are carried over and the booth is cancelled, or a decision is made not to exhibit in 2021, then the additional Priority Points earned by transferring payments will be forfeited. 

Those who wish to receive a refund must submit cancellation in writing to exhibits@aasld.org. If you have any questions or concerns regarding the process outlined above, please contact hcooney@aasld.org.

When will booth selection for The Liver Meeting® in-person component take place?
Booth selection will begin the first week of July over Zoom. Booth selection will continue to be based on a priority point system. Appointments will be sent in June for booth selection, beginning with the exhibitors with highest number of priority points. Exhibitors will receive a separate email with detailing the date and time of their booth selection appointment. 

New exhibitors will be eligible for booth selection after the appointments with exhibitors by priority points has concluded in mid-July. 

The AASLD Exhibit Space Application and Contract for The Liver Meeting® 2021 must be received within 3 business days of the booth selection appointment or else the booth space(s) will be released.

Where will exhibits for the in-person component of The Liver Meeting take place?
The in-person component of The Liver Meeting® 2021 will be held in Hall A of the Anaheim Convention Center in Anaheim, CA November 12-14, 2021.

When will housing open for individuals?
Individual housing will open in late July. The housing opening date will be posted to AASLD's The Liver Meeting website: https://www.aasld.org/event/liver-meeting. We encourage those interested to periodically check the conference webpage for the latest information.

When will housing open for groups?

Will Media receive complimentary registration to attend The Liver Meeting?
Media will receive complimentary registration to the Digital Experience (TLMdX). If Media would like to cover the in-person component of The Liver Meeting, they will be required to register at the non-member in-person rate. 

What is included in complimentary media registration to The Liver Meeting Digital Experience?
Media will have the same access to The Liver Meeting Digital Experience as non-member attendees. Please note that while AASLD does provide and adhere to eligibility requirements for media, it is at our discretion to extend or withold complimentary registration. If Media attends the in-person component to The Liver Meeting, will they still have access to the Digital Experience?

Is my AASLD membership current?

How do I join AASLD?
To join AASLD you will need to create an AASLD profile and complete the membership application. Create your profile or contact AASLD's Membership Team with any questions.

Can I get a discount on registration after I’ve registered and then pay my dues?
Membership with AASLD must be current at the time of registration to receive the member rates. AASLD will not reimburse the difference between the member and nonmember registration rates to any registrant whose membership was not current prior to the processing of their registration or whose completed membership application was approved after they registered.

Will Product Theaters take place in-person or online?
Currently, the AASLD Product Theater Application is setup for Digital Product Theaters only. A check box has been added to the application for those who wish to be contacted about in-person product theaters if this option becomes available. The Product Theater Guidelines and Application are available on AASLD.org under the “Exhibit & Support Info” tab.

Can I register for The Liver Meeting® in Anaheim, CA in-person component only?
The Liver Meeting ® 2021 will be conducted primarily through The Liver Meeting Digital Experience™ (TLMdX®). Attendees who would like to attend the in-person component to The Liver Meeting® in Anaheim, CA must be registered for TLMdX®. During the registration process individuals will be able to add the in-person component to their TLMdX® registration or can upgrade to the in-person component by accessing the Registration Resource Center in their registration confirmation. 

What does registration for TLMdX® include?
The Liver Meeting Digital Experience™ will provide a forum for the exchange of groundbreaking basic, translational, and clinical research in diseases of the liver and biliary tract, and in liver transplantation. This digital experience will create an arena for the presentation and interchange of opinions on state-of-the-art care and management of the full spectrum of patients with liver disease

The Liver Meeting Digital Experience™ includes access to:

  • ePoster Content
  • Live Educational Content

What does registration for The Liver Meeting® in Anaheim, CA in-person component include?
In-person participants for The Liver Meeting in Anaheim will have full access to the meeting's programming through The Liver Meeting Digital Experience, as well as the opportunity to participate in in-person networking events, receptions, and other physical conference offerings. 

What is the application deadline for Satellite Symposia?
To be considered, a proposal with completed application must be submitted to hcooney@aasld.org no later than Friday, July 9.

The Satellite Symposia Guidelines and Application are available on AASLD.org under the “Exhibit & Support Info” tab.

Will Satellite Symposia take place in-person or online?
Currently, the AASLD Satellite Symposia Application is setup for Digital Satellite Symposium only. A check box has been added to the application for those who wish to be contacted about in-person symposia if this option becomes available. The Satellite Symposia Guidelines and Application are available on AASLD.org under the “Exhibit & Support Info” tab.

Do I need to prepare my presentation in advance of the meeting?
Yes. The Liver Meeting will be officially be a hybrid conference, but the majority of programming will still be delivered online through The Liver Meeting Digital Experience. To ensure a successful learner experience in a digital environment, all presenters will be asked to prepare and record their presentations in advance of the meeting. Presenters will receive additional information on next steps over the summer. 

Will there be a presentation template provided to us by AASLD?
All presenters will be provided with an official AASLD PowerPoint presentation template that should be used for developing their presentations.

Will there be recording instructions/assistance provided to us by AASLD?
All presenters will be provided with recording information over the summer. 

Do I need to participate in the online session if I am pre-recording my presentation in advance?
All presenters are expected to participate in The Liver Meeting through The Liver Meeting Digital Experience online if they are presenting in a Q&A chat session. Through the event platform, the audience will be able to ask questions to the faculty for real-time engagement.

Do all of the presenters in an in-person held session need to agree to participate in-person for the session to be held? Can we participate virtually and pre-record in advance? 
All presenters that are invited to participate in an in-person session will NOT be required to participate in-person. AASLD is prepared to to host a hybrid session in the event not all of the faculty in the same session are able to participate in-person. Presenters will receive additional information on next steps over the summer.

How to I participate in the online event if I am participating in-person?The AASLD is taking steps to offer areas within the Convention Center where faculty can participate in the Digital Experience during The Liver Meeting. All presenters are expected to participate through The Liver Meeting Digital Experience online if they are presenting in a Q&A chat session. Through the event platform, the audience will be able to ask questions to the faculty for a real-time engagement.

 

I'm traveling for The Liver Meeting® in Anaheim, CA in-person component, if I am unable to attend can I get a refund on flights?
AASLD is not liable for refunds on travel. Attendees should check their individual airlines for specific cancellation / refund policies. AASLD will not be responsible for any airline cancellation or change fees.

Will sponsorship and corporate support opportunities be available for The Liver Meeting in-person and digital experience?
